Job Description

Position Overview

Ultimate Staffing Services is actively seeking an Order Entry Administrative Assistant to join their client's team in Middle River, Maryland. This Temp-To-Hire role is essential for supporting the day-to-day operations of the Order Entry department, with a primary focus on maintaining high customer satisfaction through excellent service standards.

Responsibilities

  • Manage data entry activities, including manual order entry and issue resolution support.
  • Answer phone calls and emails from internal and external customers, as well as logistics network agent locations.
  • Problem-solve and escalate issues to other order entry service representatives as needed.
  • Assign and complete Order Entry tickets in the order they are received, prioritizing requests based on urgency.
  • Manage reports as requested by the supervisor.
  • Keep records of customer interactions, process customer accounts, and file documents.
  • Follow communication procedures, guidelines, and policies.
  • Engage customers by going the extra mile to ensure satisfaction.
  • Crosstrain new Order Entry employees to ensure seamless coverage when out of office.
  • Document new processes related to manually entering orders and requesting Missing ASNs.

Qualifications

  • Minimum High School diploma or GED.
  • Minimum 1 year of experience completing a high volume of data entry activities.
  • Minimum 1 year of experience with customer service and issue resolution.
  • Experience working in order management software.
  • Strong customer service skills.
  • Excellent communication skills: verbal, written, and listening.
  • Excellent attention to detail.
  • Ability to take and apply constructive criticism.
  • Strong organizational skills to handle multiple priorities and streams of information.
  • Analytical and resourceful hands-on problem solver.
  • Must work well in a team environment and independently.
  • Must be available for occasional overtime.

Preferred Qualifications

  • Associate or bachelor's degree.
  • 2-3 years of Administrative Support, Data Entry, or Customer Service experience, with a willingness to learn while working in a team environment.

Required Work Hours

Monday - Friday, 8:30 AM - 5:00 PM (30-minute unpaid lunch)

Pay range is $17 - $18 per hour, and could have some flexibility depending on experience.
